Collaborators and permissions

An organization can have several people working in it. The owner invites whoever they like, decides how far each person reaches and which channels they can publish to. Whoever joins keeps their own organization: accepting the invitation takes them into the new one, and from then on they switch between them with the selector in the side menu.

The essentials

  1. Open Settings › Organization and press Invite a collaborator.
  2. Type The person's email.
  3. In Permissions, choose Operator or Manager.
  4. In Channels, leave All channels or choose Only the ones I pick and tick theirs.
  5. Press Send invitation: they get an email with the Accept invitation button.

Inviting and assigning permissions is done from Settings › Organization, and only the owner sees that part. At the top of the screen, anyone sees Your organizations.

  1. Identity: the organization's name.
  2. People with access, starting with the owner.
  3. Invite a collaborator.
  4. Change permissions and Withdraw access, on each collaborator's row.
  5. Pending invitations.
  6. Roles and scope: what each level reaches.

The two levels of access

When you invite somebody you choose one of two levels: Operator or Manager. It can be changed later at any time. Above both is the owner, only one per organization, who is not chosen when inviting.

Which channels All All or the assigned ones All or the assigned ones

What a level does not reach does not even appear: the Settings index lists only each person's sections.

Each person uses the Telegram bot in their own chat, with the channels they reach, once the owner has turned it on and they have linked their Telegram account: it is covered in Telegram bot.

There is only one owner, and ownership cannot be handed over from here. Your primary organization is not deleted separately: it goes with your account, from My account › Delete account. An extra organization is deleted on its own: Deleting an extra organization explains it. What belongs to each person — their email, their password, their linked accounts and their language — is covered in Access and account, whichever organization they happen to be working in.

Assigned channels

Choosing All channels does not freeze the list: whoever joins that way will also reach the channels you create later, without you having to come back to their permissions.

Somebody with only certain channels is shown only those: in the channel selector, in the queue, in automatic publishing — where they see only the profiles whose channels they all reach — and in the channel list. The rest do not exist for that person.

An archived channel carries the Archived label in the invite window and in the Change permissions one, and “(archived)” next to its name in the row of whoever has it assigned: the assignment is kept and applies again when you restore it from Channels.

If you are assigned channels and none of them is still available — or none has been assigned to you yet — the application says so and asks you to mention it to whoever administers the organization, instead of showing you empty screens.

Invite a collaborator

Invite a collaborator, in the header of the people list, opens a window with three fields:

Field Description
The person's email The address the link goes to. The invitation is valid for that address alone.
Permissions Operator (the default) or Manager, each with a line saying what it reaches.
Channels All channels (the default) or Only the ones I pick; with the latter the Assigned channels list appears so you can tick them.

How many people fit

The plan decides, counting the owner and the pending invitations: on the free plan and on Solo, one person — that is, no collaborators —; on Creator, 4 (expandable to 12); on Agency, 12 (expandable to 100). With every seat taken Invite a collaborator appears disabled and below it says which plan raises it. Subscription and credits covers it.

The seat is taken the moment the invitation is sent and is released if it expires. You cannot invite the owner's address, somebody who already collaborates, or an address with a pending invitation.

If the email does not go out

A delivery failure does not lose the invitation: it stays pending in the list and you can resend it from there the next day, or cancel it and invite that address again right away.

Pending invitations

Live invitations appear in their own list, with their level, their channels and the date they were sent. The ones nobody has accepted yet carry the Not accepted label.

Action What it does
Resend the invitation Sends the email again with a new link and renews the deadline. The previous link stops working. It does not create a second invitation, and it can only be resent once a day.
Cancel the invitation Voids the link. Whoever holds it can no longer use it. It asks for confirmation first.

An invitation expires after seven days. When that happens it is still listed, marked Expired, and resending it is enough.

Fine print: what the email says and how long the address is kept

The email the invited person receives says who is inviting them, where their address comes from and how long it is kept: the address is deleted 30 days after the invitation is accepted, canceled or expires.

The Organization section

At the top is the Identity card, with the organization's Name: it is the one that appears in the selector of everyone working in it, so it is worth making it say something, such as the name of your brand or of your client.

Below it, People with access, starting with the owner. For each person you see their name, their email, their level, their channels and when they joined.

Action What it does
Change permissions Opens that person's level and channels. The change applies on their next action, without them having to sign in again.
Withdraw access Takes the organization away from them, after you confirm. Their account is not touched, whatever they published stays where it is, and you can invite that person again whenever you like.

Collaborators suspended by the plan

When you move down a plan, whoever does not fit is left Suspended by the plan, with their level and channels saved and no access to the organization. When there is room again — by moving up a plan or buying an extra person — the list says how many you can reactivate and you choose whom with the Reactivate button. The application never reactivates anybody on its own.

Accepting an invitation

The email is titled “[who invites you] has invited you to the … organization on Codingram”, says the level, the channels and until when it is valid, and carries the Accept invitation button.

If it reaches you, you have to sign in to Codingram — with your usual account, or by creating one — and open the link. If you open it without being signed in, the sign-in screen already says which organization is inviting you and asks you to use the address the invitation was sent to, and once signed in you return to it.

Opening it does not put you anywhere: the Invitation page shows which organization it is for, with which level and over which channels, and asks you to press Accept invitation (or Not now). Accepting takes you straight into that organization, with a notice that confirms it; to go back to your own, use the selector.

The email is the proof

An invitation can only be accepted from an account that has that same address confirmed. Forwarding the link to somebody else does them no good.

If your account has a different address, the page tells you so and takes you to My account to add the invited one and confirm it: the invitation stays alive in the meantime.

The page also tells you if the invitation does not exist, has expired, was cancelled or has already been used, and if the organization has run out of seats because its plan changed after you were invited.

Your organizations

At the top of Organization is the Your organizations list: all the ones you reach, yours first and then those you collaborate in. For each one you see the name, your role (Owner, Manager or Operator) and, on your own, the plan, except on a frozen one, which no longer has one. The one you have open carries the You are here chip, and your primary one the Primary chip: it is the one tied to your account.

Each organization of yours that is not the one you have open carries Enter: it opens it and leaves you on this same screen, with its name, its people and, if it is an extra, the option to delete it. One pending payment carries Complete payment instead.

An organization of yours can also carry a status chip: Pending payment or Frozen. Those working normally carry none.

Someone who works with a single organization sees a single row and the Create organization button; nothing else changes. The side menu selector lists the same organizations, with the status next to those that are not working.

Creating another organization

Press Create organization, type the Name and press Create and choose a plan. You go straight into the new one's Subscription to choose a plan and pay.

There are two kinds of organization:

  • The primary one is the one created with your account. It can be on the free plan and have the trial.
  • Extra ones are all the others. Each has its own plan, credits, bot, tags, channels, collaborators and invoices, and it is always paid: it has neither a free plan nor a trial. Creating one does not require the primary one to pay.

Before creating one, you need a confirmed email. There is a maximum number of organizations per person, counting all of yours: the primary one, the active ones, the frozen ones, and those pending payment. If you reach it, the app will prompt you to delete one you don't use or contact Support.

Frozen and pending payment

An extra that has never been paid is Pending payment. It can be used for nothing but paying: when you enter you only see the notice with the Complete payment button, which leads to its Subscription. If it is not paid within 7 days, it is deleted on its own; its row in the list says from which day.

An extra that stops paying —because you cancel the subscription, the charge fails after the grace days or you withdraw— is Frozen, and never moves to the free plan. While frozen:

  • it publishes nothing: not by hand, not from the queue, not with automatic publishing; the queue and automatic publishing of each channel are switched off;
  • it spends no credits, not even the balance you bought, which is kept;
  • it keeps everything else: channels, templates, queues, collaborators and settings, which you can still edit.

When you open it, you will see a notice at the top with Reactivate the organization. Paying for a plan reactivates it, but the queue and automatic publishing do not switch on by themselves: check what was waiting and turn them on yourself. If the plan you choose is smaller than the one it had, whatever does not fit is archived or suspended, as with any downgrade. Collaborators see the same notice without the button, indicating that only the owner can reactivate it.

Leaving an organization

In someone else's organization, the row shows Leave. It asks for confirmation and, once you accept, you immediately lose access; if you were working in it, you move to your primary organization. This does not delete your account, and what you published in it stays as it is. If you want to come back, the owner will have to invite you again.

The owner does not leave their own: they delete it (if it is an extra) or delete their account.

Deleting an extra organization

Go into the extra you want to delete, with Enter on its row in Your organizations, and scroll down to Delete this organization, the red zone at the end. It only appears on an extra of yours and while it is the active organization; the primary one cannot be deleted separately.

Irreversible action

Its channels and the access of those who collaborate in it are deleted. Your account and your other organizations do not change.

Before you confirm, the screen tells you what it costs:

  • If it has a paid subscription, it is cancelled immediately and the rest of the period is lost. If you want us to refund the proportional part, ask by email at the address shown there; if you would rather keep the plan until its date, cancel the subscription instead of deleting the organization.
  • If it has a purchased credit balance left, you must choose what to do with it (no option is selected by default): I want to spend it before deleting, I forfeit my balance, no refund or I am asking for a refund. It will not be deleted if you don't choose an option, nor if you choose to spend it: come back once you have spent it.
  • You can Download my billing data before deleting.

What the law requires us to keep of what was charged is stored detached from you: Subscription and credits explains it.

Having paid for an extra that you later delete prevents you from asking for the free trial in your primary organization for 24 months.

Switching organization

When you reach more than one, the side menu shows the Active organization block, above the channel one.

The one you pick is the active organization, and everything works on it: Create offer, the editors, the queue and automatic publishing. Each person has their own active channel within each organization, so switching from one to another returns you to the channel you were on the last time you worked in it, and two people in the same organization never tread on each other's channel.

The choice is remembered between sessions.

To leave someone else's organization use Leave, in Your organizations, or ask its owner to remove your access from the Organization section.

If your access is withdrawn

The moment the owner withdraws it — or the plan leaves you suspended — your next action returns you to your own organization with a notice. There is no need to sign out. The same happens if the owner deletes their account or that organization: it goes with it, and the notice tells you it no longer exists. If you are the one deleting your account, Delete account tells what happens.

With several tabs open

The active organization is the same in all your tabs. If you switch in one, the others keep showing the previous one until you reload them, and they save nothing: pressing Save in one of them shows “Nothing was saved”, says which tab belongs to which, and the Reload button. What you had changed stays on screen, so you can go back to that tab's organization and save again. The channel works the same way in the queue, automatic publishing and the editors.
